Terms And Conditions

Bookings
Bookings are considered confirmed once full payment has been made and all booking forms are completed. All clients will be required to read, agree to and sign a waiver prior to an event.

Cancellations
We understand that sometimes plans change, and we will do our best to accommodate any necessary cancellations. However, in order to protect our business and ensure that we are fairly compensated for our time and expenses, we have the following cancellation policy in place:

- Cancellations made more than 48 hours before the scheduled event will be eligible to transfer the booking to an alternative date.

- Cancellations made within 48 hours of the scheduled event will not be eligible for a refund or credit note.

We reserve the right to cancel or reschedule hikes due to inclement weather, mountain leader illness, safety concerns, or other unforeseen circumstances. In such cases, we will make every effort to reschedule the hike for a mutually agreeable date. In these circumstances, a credit note will be offered. No refunds will be made if a client cancels as a result of weather conditions. Trekking Tom Experiences are not liable for any other transport or accommodation costs that you may have accrued due to cancellation, we strongly recommend you have adequate personal insurance cover for accident or injury, as well as travel insurance in case of cancellation.

Risk and Liability
Trekking Tom Experiences takes all reasonable measures to ensure your safety during an event. Please note that these outdoor activities involve risk and have a danger of personal injury or death. Anyone taking part in these events shall be aware of these risks and agree to be responsible for their own actions and involvement. Any concerns or questions should be raised with the Mountain leader. Clients are responsible for ensuring that they are medically and physically capable of completing the hike and should notify the guide or company of any health concerns or medical conditions in advance. If the guide or company determines that a client is not physically capable of completing the hike, or poses a safety risk to themselves or others, they may be asked to cancel their reservation and will not be eligible for a refund.

The most common accident and/or injury in the outdoors include slips, trips and falls, as well as personal injury such as blisters, strained muscles, scratches & stings, sunburn, getting cold and varying degrees of personal discomfort due to weather/ground conditions (these are just examples and is not an exhaustive list). Of course, more serious accidents/injuries may occur due to the natural environment (steep, uneven, rocky, wet, slippery ground), personal health issues and extreme weather conditions. By taking part in this activity, you are aware of and accept these risks.

At all times during the event, clients must abide by the authority of the guide. If a client commits any illegal act or, in the reasonable opinion of the guide, the client's behaviour is dangerous (to themselves and/or others), disruptive, threatening or otherwise, or if the client is under the incidence of drugs or alcohol we reserve the right to terminate your participation in the event without any liability on our part.

If a participant chooses to leave the organised group at any time during the walking activity and makes it clear or obvious that they are leaving the organised group, then the Mountain Leader ceases to have any responsibility or liability for that participant with immediate effect.

Terrain
All hikes will involve a varying degree of uneven and rough terrain, muddy/rocky/wet ground, fields, riverside, woodland, remote open country, high ground, hills, moorland and mountainous terrain, steep ground, stiles, stream crossings, roads and lanes, farms and livestock as well as a number of ascents/descents, some of which may be steep and sustained. We may also encounter adverse weather conditions on the walk, as well as darkness and/or poor visibility.

Change of Route During Hike

The pre-planned routes may be subject to change whilst on the hike due to adverse weather conditions, pace of the group, fitness and ability levels, accidents or injuries etc. In extreme circumstances the hike may be terminated. Once the hike has commenced then any such changes to the pre-planned hike are deemed to be part of the walk. The decision to change or terminate the hike lies solely with the Mountain Leader.

Parental Responsibility
Children under the age of 18 are only accepted by prior agreement on our events. Any people under the age of 18 must be accompanied by their own parents or legal guardians who agree to take full responsibility for their actions, safety and supervision of them at all times. By agreeing to these terms you confirm your child has the relevant fitness and/or experience to participate in these events and that you accept the risks for your client and give consent for them to take part.

Photos
Photos and videos are taken on courses and walks, which we then send you as a memento & use on our website and social media. We never include identifying information when we publish these images. If you do not consent to this please inform your Mountain Leader at the start of the walk.

Dogs
We may not always be able to accept dogs during our events, therefore, if you wish to bring your dog on an event please contact us prior to booking. Clients will take full responsibility for the safety and supervision of their canine companions.

By booking a guided hike with us, clients acknowledge and agree to these terms and conditions.
